Administrative Assistant for Programs and Initiatives
Hartford Foundation for Public Giving offers a unique opportunity for an expert administrative Assistant to contribute to the vital work of the Foundation’s Program Department by fulfilling key administrative and secretarial responsibilities:
• Work independently and with teams on special projects, including planning and coordinating meetings and events, multiple presentations, disseminating information, coordinating direct mailings, creating templates for data analysis and reporting.
• Prepare preliminary grant reviews and analyses of proposals, compile information about grant proposals, conduct additional research and develop preliminary write ups for review by program officers.
• Prepare budgets and track expenses, analyze and report on variances and project future expenses accurately.
• Create general correspondence, memos, charts, tables, graphs, agendas, notices, materials and minutes, etc. ; maintain print and electronic files, provide telephone coverage, make copies. Proofread all copy for spelling, grammar, and layout, making appropriate changes. Ensure accuracy and clarity of final copy.
Requirements for this position are:
• Exceptional interpersonal skills to handle sensitive and confidential situations, demonstrated poise, tact and diplomacy.· Excellent oral and written communication skills, demonstrated ability to organize and relate information to ensure full understanding.
• Thorough computer literacy, including strong word processing, presentation, database and spreadsheet and internet experience, with mastery of Microsoft Office software. Willingness and ability to learn proprietary database software and other computer programs as appropriate.
• Working knowledge of budgeting, financial reporting and analysis, proven solid computation skills and consistent accuracy and thoroughness in work products.
· Consistent attention to detail in composing, producing and proofing materials, establishing priorities and meeting deadlines; record of thriving and contributing in a fast-paced environment with demonstrated ability to complete multiple competing tasks and demands successfully.
• Demonstrated ability to take initiative and to make effective decisions/choices without direct supervision.
· Demonstrated commitment to high standards for quality and productivity; proven record of maintaining strict confidentiality and discretion in every aspect of work.
• Bilingual oral and written English/Spanish ability preferred.
• A bachelor’s degree or equivalent experience coupled with a minimum of 5 years administrative experience, preferably in not for profit research, project evaluation and/or grant making.
• Flexibility to provide support to evening activities and events as needed.
